Role Overview

As a Project Manager at our Healthcare Communications agency, your role is crucial in overseeing the successful execution of various projects related to healthcare communications, marketing, and education. You will be responsible for managing projects from initiation to completion, ensuring that they are delivered on time, within budget, and according to the client's requirements.

Key Duties and Responsibilities

Key Duties

Autonomously lead the delivery of a range of individual projects and workstreams from initiation to completion

Act as a key point of contact for clients, external parties and the internal team across workstreams and/or accounts

Provide guidance on medical communications deliverables to clients in a solution-orientated manner

Develop, maintain and oversee (brief and review) the development of internal trackers and detailed project timelines

Develop and review project update/status meeting agendas; lead entire internal project update/status meetings; review resulting minutes/actions

Brief and oversee the coordination of logistics for meetings (in-person and virtual), the production and delivery of meeting materials and the process of obtaining copyright permissions

Lead the delivery of, and attend, on-site (or virtual) client meetings, as required

Support the development of account/activity plans

Oversee the management of databases (eg Veeva, Datavision, etc.) for client projects


External liaison

Autonomously lead discussions with clients and external experts across workstreams and/or accounts

Autonomously lead entire client/supplier project update/status meetings; review minutes/actions

Autonomously brief external suppliers (eg AV/digital companies) and freelancers/other contractors

Obtain and review quotes from external suppliers (eg printers, AV companies, hotels, secretariats, etc.

Review external correspondence for account team, as required

Processes and compliance

Provide guidance on processes and guidelines to clients, as required


Scientific content development

Mentor team members on Helios editorial processes of briefing, internal review, QC/data checking, styling and editing

Develop briefs for other team members based on project and client requirements

Develop and independently review content for scientific materials according to the project brief; ensure that
content is of high quality and meets Helios standards

Deliver projects to budgeted hours and deadline

Resource and personnel management

Work with Finance and Senior Management Team to forecast resource requirements across workstreams and/or accounts

Work with Senior Management Team to identify freelance needs

Contribute to account resource plans

Participate in interviews for potential new candidates, as required

Line-manage and mentor junior team members (eg `Scientific` Database Coordinators, `Scientific` Projects
Coordinators or Senior `Scientific` Project Coordinators) according to Helios processes

Be a positive role model (including work ethic, attitudes and behaviours) for colleagues

Training

Train team members on key industry guidelines (eg Good Publication Practice, ABPI, PhRMA, CONSORT,
etc.), as required

Complete Resource Planner and timesheets on a weekly basis; actively follow up with line reports or team
members who are behind on completion

Develop company and account training materials, as required

Lead account/workstream onboarding process for new team members

Attend and lead training sessions (client and Helios) on an as-needed basis to ensure development of core skills and competencies

Work with Senior Management Team to define, prepare and deliver training

Person Specification

Hold a life sciences degree or similar

Have a minimum of 6 years experience in Project Management / Strategic Delivery

Medical Writing experience ( desireable, but not essential)
